Parent and Student Policy on After School Enrichment Programs

IMPORTANT: Before enrolling in any enrichment program, parents, guardians and students must read and agree to the terms in this policy. This document is prepared to help maintain the optimal learning environment for all students and mirrors the expectations of the normal school day. If you have any questions about this policy, please contact the Enrichment Coordinator.
This is a living document. It will be updated if changing existing structures would promote greater equity and safety throughout our programs. Families will be notified if any changes directly affect classes in progress.
CODE OF CONDUCT
Be aware, safe, and connected: students are expected to maintain the same behavioral standard that they would during the formal school day. If any student is disruptive and prevents the instructor from conducting class or leaves the classroom without the instructor’s permission, a warning will be given to the student and parents/guardians will be notified. (If a student has an IEP, it is requested that families share that information with enrichment providers.)
After two such occurrences, parents/guardians and the enrichment provider will meet to discuss measures and find solutions to such problems. (Meetings can be in person, via email, or over the phone.) Should the problem continue, the PTSA will be notified and the student will be withdrawn from the class without tuition refund.
For bathroom breaks, the club instructor may require students to go in pairs with the expectation of prompt return.
Parents of students with severe allergies are responsible for contacting the activity provider/instructor in order to develop a formal health concern plan. Please note that providers do not have access to medications held by the school nurse.
TRANSITION TIME FROM SCHOOL DAY TO AFTER-SCHOOL ENRICHMENT
ON-SITE CLASSES, SESSION 1
After arriving in the cafeteria with their classroom, students should immediately check in with the Recess Team at the tables in the back of the cafeteria.
Once students have checked in, they will be able to play on the playground for the 15-minute All Clubs Recess. A whistle will signal the end of the recess, at which time all kids will return to the cafeteria to meet instructors and be walked to class.
OFF-SITE CLASSES, when applicable
After the bell rings, students will meet the off-site provider at a designated location on school grounds OR go to the appropriate bus line. Students do NOT participate in the All Clubs Recess.
Parents/guardians are responsible for reminding their children of after-school activities. If a child will be absent from an after school activity, parents/guardians must notify the enrichment instructor as soon as possible. Repeated absence (3 times) from after-school enrichment without instructor notification will result in the student being withdrawn from the class with no tuition refund. Illness does not count against these absences.
AFTER-SCHOOL PICK-UP POLICY
For after-school clubs, parents/guardians are expected to arrive at John Marshall by the listed class time for pick-up UNLESS they have signed up to ride the 4:30pm bus to John Hay or their child is enrolled in KidsCo. No student will be allowed to leave without the signature of an approved adult.
If families need to contact enrichment programs during cubs, please text or call the Recess Team at 206-928-1365. Use this number if a child will be absent from a class, if the pick up person will be late, or other issues requiring quick response during club times. For all other issues, please contact the club provider.
TRANSITION TIME FROM AFTER-SCHOOL ENRICHMENT TO KIDSCO
Students who go to KidsCo will be walked by the club provider. This is in effect for all grade levels for liability purposes. Only students who are registered with KidsCo can go to KidsCo after clubs.
TRANSITION TIME FROM AFTER-SCHOOL ENRICHMENT TO 4:30pm BUS (WEDNESDAY ONLY)
Students will be supervised in the time period between their class ending and the bus loading. Families will be notified once the bus has departed John Marshall.
Parents/guardians are welcome to observe classes. However, parents/guardians may not interfere with instruction and learning. To minimize class disruption, parents/guardians must communicate with the class provider beforehand regarding the best time for observation (e.g., the first half of class). Parents/guardians may be asked to assist with the class while observing, if appropriate.
COMMUNICATION WITH CLUB PROVIDERS
Club providers are always happy to discuss classes and student progress with parents/guardians, but are not always available to do so immediately before or after class. Please chat briefly at pick-up, email, or call providers to arrange an appropriate time. Contact information for providers is sent via confirmation emails after registration has ended.
CONCERNS AND FEEDBACK
Parents/guardians are encouraged to communicate needs or give feedback to the provider. When issues arise, parents/guardians should directly work with the provider, outside class time. If issues cannot be resolved after direct communication with the instructor and provider, parents/guardians should contact the PTSA Enrichment Coordinator.
